What is Powow?
Powow AI is a SaaS (software as a service) platform that uses proprietary AI algorithms to transcribe and analyze operational meetings, transforming them into actionable insights.

How to use Powow?
You simply need to create an account, schedule a meeting using any teleconference application that includes a dial-in, and invite Powow to the meeting. Several minutes after the meeting is done, it will be available on the Powow web application and accessible by the meeting organizer and participants. Additional users can be provided access to the processed meeting as needed.

How much does it cost to use Powow?
Pricing varies by plan. You can try using Powow with Essentials Plan which is free. We charge only $4 per meeting hour. Upgraded plans give wider access to the webapp’s tools. For more information check this link.

What are the different price plans?
You are able to choose between Essentials, Pro and Enterprise plans. For more details, visit our Service Plan pricing details here or, from within the app, go to Organization -> Billing -> Edit Payment Plan in the webapp to check prices and features included.

How can I upgrade my account plan?
Any Organization Admin can change the Service Plan for the organization in the Organization -> Billing section. For more information, please read our manual on Service Plans and Billing here.

What conference tools are compatible with Powow?
You can use Powow with any teleconference application that includes a dial-in or to Microsoft Teams by installing Powow adopter.
For the most common teleconference apps, all you need to do is add agent@powow.ai to the invitee list on your calendar invite. With Microsoft Teams invites, Powow syncs automaticaly if the adopter is set up.
Powow supports several meeting invite formats “out of the box”, including: Zoom, WebEx, Google Meet / Hangouts. For any other application, it is possible to add Powow dial-in information to the meeting invite using a few simple lines in the meeting description.

Can I use Powow for offline meetings?
You can invite Powow to dial any phone number, which allows any phone present in the offline meeting to be used as a recording device for Powow. However, please be advised that personal mobile phones on “speaker mode” will result in poor recording quality and poor transcription results. If dialing for an offline meeting, we highly recommend that the other end of the dialed number is a teleconference phone or the participants are connected to the answering phone with personal (eg, lapel) microphones. I’ve noticed suspicious activity in my account, what should I do?
You can find the Activity section in your Profile Details, check last login. If it’s not yours we recommend you to change your password immediately.

Getting Started

How do I sign up?
You can create an account on your own. Simply go to our website, hit the Register button and there you go! You need to create an account with an active email address in order to start using Powow webapp. If you are the owner of google or outlook e-mail address, you can register your Organization with one step authentication. Do I need to create a company account or a personal one?
If you are the first member of your organization to register with Powow, you become an owner of the organization’s account (Organization Admin). As admin, you can manage all permissions of your organization including adding/disabling users and assigning new admins.

I can’t create an account. Why?
You may not be able to create an account for various reasons. Most common is if the email that you are trying to register has been already used for Powow account. Please, try to use this email to login. An email can only be associated with one Powow organization. Read this article for more information.

I received an invitation to create an account from my organization, but the link doesn’t work. Why?
The invitation link for users has an expiry date of 14 days. Please make sure you use the link prior this time.

Why can’t I sign in?
The email or password may be wrong. Please see our manual here.

How do I reset my account password?
On the login page click ‘Forgot Password’ and enter your email. Check your inbox for a password reset email. To change your password when already logged into the Powow web app, go to your account settings, scroll to the Password and click Edit. Follow step-by-step in the manual here.

Do I need to download your application to use Powow?
No, you don’t need to download anything! Powow is entirely web-based and connects directly with your teleconference platform. You will never have to download software to have Powow join your meetings.

My account has been suspended, what do I do?
Powow AI does not suspend accounts without an account holder request. Powow AI respects the organization's privacy and does not get involved in suspension of user accounts. Please contact your Organization Admin that has access to user accounts settings.

How can I close organization account?
We would be very sorry if you leave us :( If there is anything we can do for you, just share your feedback with us. However, in case you decided to cancel your account anyway, please send a request from the Billing section in your webapp. Find out how to close your account here.

Account Administration

How do I change and check my account details?
In your webapp, click to the account name in the top right; in the unfolding menu choose "Manage Profile". For details click here.

How to manage company account details?
Go to Organization -> Organization Details. For more information check these manual and video. Important: only Organization Admins have access to change company details.

How to become an admin for my organization?
You can be invited as an Admin to the organization or upgraded from the User account. To receive admin access, please request your upper management. For more information go here.
If you are the one who created the organization in Powow, you become an admin automatically. -
Can I transfer my account (meeting) ownership to someone else in the same organization?
We do not recommend passing your account details to anyone, however, you can share the access at your discretion. Keep in mind that after acquiring the access to your account, the delegatee will possess your meetings ownership. You, on the other hand, will lose the access to all the meetings you create.

What app sections do users have access to?
Users have access to all sections except Organization in the sidebar menu. From Settings users can access Custom Labels and Access Groups. Read more about permissions here.

Inviting Powow to Meetings

I’ve scheduled a meeting with my conference tool. Why don't I see it in my Powow calendar?
To see your meeting in Powow calendar, you must add Powow Agent agent@powow.ai to the participants. Conference tools like Zoom and WebEx also require dialing data. The invite to agent@powow.ai should come from the same email as registered or aliased on your account.

I’ve been invited to a meeting but I don’t see it in my Powow Meetings
This may happen if the owner of the meeting canceled your participation, access, or canceled the meeting. Additionally, if a meeting owner forgets to invite Powow Agent, this meeting will not appear in the web app. Please contact the owner of the meeting for further information.

I invited Powow to a call, but I am not the organizer of this meeting. Will Powow join? Or do I need to be the organizer of the meeting?
You do not have to be the meeting organizer in order to have Powow join your meeting. However, we encourage you to communicate with the meeting owner and other attendees if you are including the Powow Agent in a meeting.
To include Powow in a meeting invite which you do not own, duplicate the invitation you received and send it to agent@powow.ai. Or send invite using an invite form in the web app. In the Powow web app, you will now be the meeting owner.
Don't forget to CC other meeting participants that are members of your Powow organization so they automatically have access to the meeting once it's complete!

How can I sync Powow Meetings with my calendar?
Meetings become automatically synchronized once you invite Powow Agent to the meeting via your calendar.

Why do I hear noise from Powow Agent at the meeting? Can I turn it off?
Because if it doesn't make any noises, sometimes the teleconference system thinks that there's no one there, and hangs up on the agent. If you wish to turn it off, simply mute the microphone of Powow Agent during your conference.

Can I download meeting audio and transcription?
You can download transcription in TXT/PDF/Json formats by pressing the “⋮” key in the top right screen. You can also download audio by unfolding the player above transcription and clicking the “⋮” key. Check the manual on this feature here.

I recorded a meeting on mobile, how to upload it?
This functionality is not available because we can not guarantee the flawless sound quality of the device that record was made. Make sure to invite Powow Agent to the meeting first to record it.

A meeting has finished. Why don't I see transcription?
Don’t worry, it takes time for Powow to convert your meeting. If an Agent is present during the meeting, it will definitely record it and diarization will appear in the webapp. If you don’t see the transcription after 2-3 hours, please contact us.

Can I edit an upcoming meeting when I’ve already invited Powow to it?
Yes, the meeting time and details can be changed either in the calendar or in the web app. If the meeting delays or starts earlier, Powow Agent will join for the rescheduled time. Always send the updated invitation to Powow Agent.

I scheduled a meeting for 30 minutes but it lasted 45 minutes. Will Powow Agent record everything?
Powow Agent will join your meeting for the scheduled time and finish recording 3 min after all the participants leave, regardless of the original end time of the meeting.

Why are Meeting Key Items empty?
If one of the automatically generated Meeting Keys is empty, it means that relevant topics weren't covered during your meeting. The system automatically generates the following Keys: Activities, Issues, Questions (only Pro Plan and above). You can also add items during the meeting by leveraging in-meeting commands.

Can I share access to a meeting with colleagues who didn’t attend it?
Yes, you can share the access with the users within the same Workgroup. Open a relevant meeting, click on "Access" and “Add New". Only the owner of the meeting or users with managing access can do this. See the video guide/manual on how to here.

Can I make Powow Agent record specific activities during the meeting?
In addition to automated recognition and analytics of the Key Items mentioned here, Powow supports “Command Recognition'' during your meetings. You can use special key words and phrases to add analytics items such as Decisions and Parking lots, set the meeting title, associations, and more. Find commands you can use here.

Why can't I see other team’s meetings?
We respect individual’s and team’s privacy concerns and believe that each organization should control and provide access to the information they want to be shared. You will see the meetings with your participation or meetings that other users invited you to see. The owner can manage what meetings other users have access to.

How to delete a meeting?
You can remove a meeting by simply archiving it, using the “⋮” key on the Meeting page. To delete it completely, go to Organization→ Archived Meetings, click on the “⋮” key of unwanted meeting and press “delete”. Important: only the owner of the meeting can archive it. Only Organization Admin can delete archived meetings or unarchive them. To learn more read this article.

I can’t access archived meetings, what should I do?
Archived meetings can be recovered only by the Organization Admin. Please visit our guide here. If you are a regular User, please contact your Organization Admin.

Will Powow Agent join the meeting if I don’t send it an email invitation?
No, the email invite to Powow Agent must be sent as you would send to other participants.

What should I do if the meeting started later than scheduled and Powow Agent didn’t appear?
You should reschedule the time of the meeting in your calendar and invite Powow again. Make sure to send Powow an email notification. It’s not necessary for participants to leave the meeting during these manipulations. Alternatively, you can dial-in Powow directly from the web app. Check out our manual on how to invite Powow on the meeting here.

My meeting was interrupted and finished after two minutes, will it be charged?
It will be recorded, but won’t be charged. Only meetings longer than 10 min are charged to your organization.

We’re using specialized words and terms that Powow transcribed incorrectly, will it learn them over time?
If there is a term that is commonly mis-transcribed, you can use the "correction phrases" feature to ensure it appears correctly in the text. The easiest way to do this is to highlight any word/text in the meeting dialogue and clicking the "+" symbol that appears at the top right of the utterance. A window will pop up asking you for a "correction phrase" to this mis-transcription. The correction will take immediately in your existing meetings and will be automatically applied to future meetings. You can also do this by going to Settings -> Correction Phrases from the left-side menu. Check our article with these feature details.

Do I need to provide a payment method to use Powow?
You can start using Powow on trial. Provide your credit card details after the trial is finished on your discretion, to continue leveraging Powow for your meetings. Read here to learn how to add your credit card.

Which payment methods does Powow support?
Powow supports only credit card payments at the moment.

How do I enter my credit card information?
Go to the Powow web app, choose Organizations→Billing→Edit Payment Methods→Add Payment Method. Enter your credit card information and click Save to submit.

What happens if my credit card is cancelled, suspended, or expired?
The payment is charged on the first of the month.We highly recommend updating your credit card details before the charge occurs in order to continue using your Plan.

How often is my credit card billed?
The payment will proceed once a month. You can see the date it was charged on your invoice.

How do I see my invoice?
You can see your invoices in the web app under the Billing section.

How do I see what I was billed for?
In your web app go to Organization, then click on the Billing section.

How do I dispute an invoice?

We do not share, sell, or otherwise disclose your Personal Data for purposes other than those outlined in Privacy Policy. We may disclose your Personal Data to a few third parties, including:

Can someone record me without my knowledge or consent using Powow?

Can I record someone without their knowledge or consent using Powow?
Powow AI respects the privacy of every individual and recommends informing all the participants of the meeting that they are being recorded by Powow Agent.

Can I share recorded or meeting analytics content outside of Powow?
We care about the security of your content and do not recommend sharing any private information from your meetings. However every organization owner has a legitimate right to dispose of information at his/her discretion.
